Cold Chain Logistics Fleet Finance - HP vs Operating Lease for Reefer Fleets

Cold chain fleet finance for temperature-controlled distribution operators. HP vs operating lease for reefer fleets with a 5-vehicle worked example.

Rates updated

For cold chain logistics operators managing fleets of temperature-controlled vehicles, the choice of finance structure has significant implications for cash flow, tax treatment, balance sheet presentation, and operational flexibility. This guide compares Hire Purchase and Operating Lease (Contract Hire) specifically in the context of reefer vehicle fleets.

The Two Main Finance Structures for Reefer Fleets

Hire Purchase (HP)

Under HP, you make fixed monthly payments over an agreed term (typically 3–7 years for HGV refrigerated vehicles) and own the vehicle outright at the end. HP is an on-balance-sheet liability - the asset and associated debt appear on your company accounts. Capital allowances can be claimed on the asset value.

Operating Lease / Contract Hire

Under an operating lease, you pay to use the vehicle for an agreed period and return it at the end of the term. The lessor (finance company) retains ownership and bears the residual value risk. Lease rentals are generally fully deductible as a business expense. For fleet operators, this removes the disposal headache and residual value risk on ageing reefer bodies.

Which Structure Suits Cold Chain Operators?

HP - Best When

  • You want to own assets on the balance sheet
  • Vehicles have long useful lives (8–12 years typical)
  • You're profitable and want capital allowances
  • Fleet composition is stable (no frequent rotation)
  • Strong preference for outright ownership

Operating Lease - Best When

  • Residual value of reefer body uncertain (older tech)
  • Fleet needs frequent rotation with technology
  • Off-balance-sheet treatment is a priority
  • You prefer fixed, predictable monthly costs
  • You want to include maintenance in the arrangement

FAQs

Frequently asked questions

Can I finance a mixed fleet of different refrigerated vehicle types?

Yes. A fleet facility can cover a mix of refrigerated vans, rigid HGVs, and reefer trailers under a single agreement, though the rate and terms may vary by asset type. Lombard and Close Brothers both have experience structuring multi-asset cold chain fleet facilities.

Is HP or operating lease better for cold chain fleet tax efficiency?

This depends on your business's profit position and tax planning strategy. HP gives access to capital allowances, while operating lease allows rental deductions as a business expense. Your accountant should advise on which is more beneficial given your specific tax position. Doulton Bridging Finance can explain the finance structures; we do not provide tax advice.

How do I refinance an existing cold chain fleet?

Refinancing an existing reefer fleet is possible - sometimes called sale-and-leaseback - where the lender purchases the assets from you and leases them back. This releases equity tied up in the fleet. Close Brothers and Shawbrook both consider sale-and-leaseback on refrigerated vehicles in good condition.

Asset finance for business purposes is not regulated by the FCA. Rates shown are indicative as at October 2026 and depend on credit profile, term, vehicle and deposit. We act as a credit broker, not a lender. Your vehicle may be repossessed if you do not keep up repayments.
